Hiring is the invisible category that holds a wedding together. Tables, chairs, linen, crockery, cutlery, glassware, cooling, dance floors, heaters, mobile ablutions and kitchen equipment all have to come from somewhere, and at a venue that is not fully inclusive that somewhere is a hire company.

The single most useful thing a hire company gives you is a quantity list that is actually right. Working out how many side plates, water glasses, cake forks and serviettes a two-hundred-guest wedding needs, with breakage allowance, is a specialist calculation and getting it wrong is visible on the night.

What affects the price

  • Quantity and item quality: Basic plastic chairs, Tiffany chairs and designer furniture differ enormously; the same applies to crockery and glassware ranges.
  • Delivery and collection: Distance, access, and whether delivery falls on a weekend or after hours affect the transport charge.

  • Base quantities on the final menu — a three-course plated dinner needs far more crockery and cutlery than a buffet.
  • Always add a breakage margin; hire companies usually recommend around five to ten percent.
  • Coordinate with the caterer so you are not hiring items they already supply, or missing items they assumed you had.
  • Confirm who washes crockery after the event and whether a cleaning fee applies.
  • For winter Highveld and Drakensberg weddings, budget for heating; for Lowveld and coastal summer, budget for cooling and fans.
  • Check dance floor size against your guest count and the surface it is being laid on.

Do we need hire if the venue provides furniture?

Often only partly. Many venues supply tables and chairs but not linen, glassware or a dance floor. Get the venue's inclusion list in writing and hire only the gaps.

How far in advance should we book hire items?

Four to six months for peak-season dates, especially for popular ranges such as Tiffany chairs and specific glassware. Quantities can usually be adjusted closer to the date.

Who sets everything up on the day?

It depends on the quote. Some companies deliver only, and setup falls to the venue, caterer, planner or your family. Confirm this explicitly — it is a common and stressful gap.
